Booking Conditions and General Information

IMPORTANT:

1)  Please read these booking conditions carefully.  Payment of a deposit is acceptance and understanding of these conditions.

2)  Please note that all pricing is subject to availability at the time of booking, and may be subject to special event surchages. Final price will be confirmed with the initial booking confirmation.

How to book your Kiwiway Vacation

Book through your local travel agent OR send a booking request from our website. We will respond to you within 24 hours to continue the booking process.

Choose your vacation and request your preference by quoting the relevant vacation name and if applicable, tour code as well as your preferred commencement date.

Taxes

New Zealand Goods and Services (GST) tax (15% at the current time) will be included in all tour prices. No other taxes are included in tour prices. We reserve the right to increase prices should there be a change to the GST tax rate or if there are further Government introduced taxes.

Payment

Deposit - A NZ$150.00 deposit is required within 14 days of confirmation of your tour arrangements to enable us to hold the reservation. Luxury Lodges and Apartments have strict deposit, payment and cancellation conditions, which vary from property to property.

Final Payment - will be required 45 days before arrival date in New Zealand. Bookings made within 45 days will require full payment at time of confirmation. If full payment should not be received by the required date, services will be cancelled with forfeiture of full deposit. Certain products may have different payment requirements and these will either be stated in the brochure oradvised at time of booking.

Cancellation

Cancellation fees will be levied relevant to the amount of notice prior to departure as follows:

  • More than 45 days - Loss of deposit
  • 44-7 Days - 50% of the total price.
  • Within 7 days - 100% of the total price

We recommend travel insurance to cover such eventualities.

Amendments

Once a booking has been confirmed, one amendment will be allowed without incurring any additional costs. Second and subsequent amendments will incur a fee of NZ$50.00 per amendment. Amendments made after documentation has been
issued will incur a fee of NZ$100.00 to cover courier costs, communication costs and re-documentation costs.

Luxury Accommodation (Lodges, Boutique Hotels, B&B’s and Apartments)

These types of accommodation have strict deposit, payment and cancellation terms which vary from one property to another. Upon confirmation of services, we will advise you of any deposits required to secure your booking. At the same time we will advise you of the cancellation policy for that property. Generally cancellations within 30 days of arrival incur cancellation fees.

Escorted Coach Touring

Booking / Deposits:
A NZ$150 per person nonrefundable deposit is required at the time of booking. The balance of payment is due 45 days prior to travel,or at time of booking (if booking within 45 days of travel).

Cancellations:
Up to 45 days prior to travel, the non-refundable deposit of NZ$150 per person is the only cancellation fee.
After this, in addition to the nonrefundable deposit of NZ$150 per person, the following fees will apply:

  • Between 44 and 21 days prior to travel = 20% of the total cost
  • 20 to 11 days = 50% of the total cost
  • Within 10 days = 100% of the total cost.

Special discounts will apply to optional tours offered by your driver and will supercede the Kiwiway Discount booklet offers.
All hotels have been chosen to complement the itinerary and ensure a consistent level of service. Allotments are held at all hotels, however seasonal variation may necessitate minor changes to hotel standardswill be made to the best advantage with appropriate adjustment to costs.
Domestic Flights: Are not included in tour prices
Please note: It is not possible to change any aspect of these tours – they are group tours on a set departure date.

Refunds

No refunds will be available on any unused services unless extenuating circumstances apply. In such instances, final decisions will be made at the discretion of the suppliers whose services are involved. Weather interruptions to itineraries/tour packages are beyond our control. We will do all possible to rearrange services in such event, but cannot be held financially responsible for interruption under such circumstances. We strongly recommend travel insurance cover for such eventualities.

Children

Seat in coach: Generally children under 12 years, who share a room and existing bedding with two adults, may travel at 50% of the normal adult cost. A child under 12 years who shares a room with two adults and requires an additional bed may travel at 67% of the normal adult cost. We reserve the right to confirm exact child costs at time of reservation.
Self drive: Will be quoted on request.

Accommodation

All accommodation included in our itineraries is based on sharing a twin room with private facilities unless otherwise indicated. Single rooms are available but the higher single price must be paid. In addition, all accommodation in our itineraries are based on "Run of House" rooms, unless specifically mentioned otherwise. Hotel management makes all room assignments and Kiwiway Vacations has no control over which room may be allocated. If the featured hotel is unavailable, Kiwiway Vacations reserves the right to substitute hotel accommodations of a similar grade.

Self Drive Touring

Any sightseeing tours outlined (eg ‘city sightseeing tours’) or routes described between destinations on a self drive basis are suggestions only. Any attraction or entry fee outlined in the itinerary will however be included.

Meals

Unless specifically mentioned, meals are not included in the tour price.

Hotel Confirmations

Kiwiway Vacations reserve the right to provide alternative accommodation to the hotels listed within this brochure due to any unforeseen circumstances. Kiwiway Vacations will endeavour to provide accommodation of a similar standard as requested, however as the choice of accommodation in remote areas is limited, we will use only the best that is available.

Rental vehicle hire

Self drive rental vehicle touring is calculated on a per day / 24 hour hire period starting from the time you collect your vehicle. An extra days hire will apply for any late dropoffs on the final day. Hire includes unlimited kilometres and daily basic insurance and is subject to the rental vehicle companies terms and conditions.

Flights

Unless specifically mentioned, international or domestic airfares are not included in any tour costs.

Luggage

Luggage on all motorcoach tours is limited to two pieces or 20 kilos (44lbs) per person, which is in line with the international airline allowances.

Not Included in Tour Cost

The cost of gratuities, insurance, optional sightseeing, excess baggage charges, laundry, drinks, airport taxes, meals except where indicated and items of a personal nature are not included in the tour cost.

Travel Documents

It is the responsibility of all travellers to ensure they have in their possession valid passports (with an expiry date beyond six months of their intended stay in New Zealand) and appropriate visas where applicable. All travel documents issued by Kiwiway Vacations, including vouchers, itineraries and other reference material, will be delivered to you upon your arrival into New Zealand.

Insurance

We strongly recommend that all travellers take out appropriate travel insurance cover for all eventualities.

Disclaimer

The client accepts that once a booking has been made with Kiwiway Vacations and the required deposit paid, the client understands and accepts all terms and conditions as outlined.
 

The Fine Print

Responsibility

The holidays, accommodation, transport and/or other services in this brochure, is operated on behalf of Kiwiway Vacations by General Travel New Zealand Ltd. The company is not itself a carrier or hotelier, nor do we own aircraft, hotels or coaches.
Booking Kiwiway Vacations with General Travel is subject to the terms, conditions and limitations of liability imposed by those transportation companies, hotel contractors and other service providers who may provide you with services and facilities at the request of General Travel.
General Travel shall not in any circumstances be held liable for and will not accept responsibility or liability for the acts, omissions, defaults or failures on the part of the transportation companies, hotel contractors and other service providers which are used in these tours.
General Travel acts only as your agent to introduce you to service providers. We do not accept any legal liability or damage including death, injury, delay, loss of any nature, additional expenses or inconvenience howsoever caused to property or the passenger for himself and his executors, administers and dependents expressly renounces all claim against General Travel in respect thereof, whether the same may be due to negligence, misconduct, act of omission, default or failure on the part of General Travel or not.
General Travel will be not responsible or liable (for damages, refund or otherwise) for:

  1. Mechanical breakdowns, government actions, weather, acts of God, strikes, compulsory quarantine or other services beyond its control.
  2. The failure of the client to obtain the correct and required documentation (eg, passports, visas, health certificates)
  3. The failure of the client to follow instructions, including but not limited to check in, check out and departure places and times.
  4. The delay of, loss of or damage to participants baggage or its contents regardless of whether check with any carrier, provider of accommodation or otherwise. 

General Travel reserves the right to use other non-brochured service providers of a similar or higher standard at their discretion. General Travel reserves the right to amend, make variations to or cancel the tours, accommodation or other services and facilities advertised in this brochure. All prices are subject to alteration at the absolute discretion of the Company, and in particular but not limited to when there are tariff or fare variations for currency exchange fluctuations.
The transport companies or firms concerned are not to be held responsible for any act, omission or event during the time passengers are not on board their aircraft and/or conveyances. The airline tickets issued by the airlines concerned, when issued, shall constitute the sole contract between these airlines and the purchaser of this tour and/or tour members.

Money Paid to Travel Agents

Your travel agent will forward deposits and other payments to General Travel New Zealand Ltd. on your behalf, but your travel agent is not our agent for the purpose of receipt of monies. Receipt of deposits and subsequent payments by the travel agent do not constitute receipt of those monies by us and the travel agent has no authority, expressed or implied to receive monies on our behalf. There is no liability on our part to your travel agent unless and until we notify you that we have received monies. Confirmation of booking does not constitute receipt of monies by General Travel New Zealand Ltd.
